The general rule is 1 event per month (aka monthly event), however, this is not a solid restriction as we allow VTCs and event groups to host extra events outside their monthly events, such as for their anniversary, or seasonal events. With that said we unfortunately can not turn around and simply allow all VTCs and event groups to host 2 (or more) events per month for example as we simply do not have server capacity for this currently. It is very much expected that if some VTCs begin hosting more than one event regularly, a large influx of other VTCs and event groups will wish to do the same.
We have previously allowed some verified VTCs to host more than one event server in a month for a special occasion such as their anniversary (so they hosted a 2 part week/weekend event). They have had the option to host one on the weekend and one in the week (Mon-Thu) or they can wait until closer to the time to see if a second server is available to host both on the weekend (Fri-Sun). This is to allow other VTCs and event communities to get a chance to host an event that weekend too. (Please note this is only reserved for Verified VTC at this time)
If a VTC wished to host a monthly convoy and then host a Christmas special event or Halloween special for example, we have no concerns here as long as it does not turn into a monthly thing. We have had VTCs in the past do a similar thing to this, so they ended up hosting maybe 14 event servers in the year rather than 12. (Please take note that a "special" would require 100 sign-ups as it is not part of your monthly circuit.)
It is important to emphasise that we are restricted with how many event servers people can host a month as we only have a set amount of servers. To give you an idea, we have 5 servers based in Europe for community events and 1 server set in North America which can be used upon request. This means we can only host 6 events concurrently (Often only 5 unless the NA server is used). We are already at a point where sometimes we are running at capacity on a weekend (between Friday-Sunday) and this has been seen to be happening more regularly over the past few weeks/months, so even allowing just verified VTCs (this is around 60) the option to host 2 event servers each month would result in an average of 2 extra event servers every single day which is simply not fair on everyone else who wishes to host an event and would need to fight to gain an event server.
As you are likely aware we have previously approved some VTCs to host weekly event servers, so I will touch on this below too:
RLC was previously granted weekly servers for their events for a long period of time, however, they did not receive this easily. Their events were run on a public server every week for over a year with 200-300+ attending every single week. This proved to Event Management that a public server was not fit for these events as it was not only affecting their event, it was also affecting general players who were just free roaming on our public servers.
As a result, their servers were automatically granted under "Required to ensure non-attendees will not suffer from the event (at the Event Management’s discretion)".
We would not allow a weekly server for an event group or VTC for just meeting 50/100 confirmed sign-ups, they would need to prove over a long period of time that they are constantly receiving high attendance which is affecting general players on the server. This would then need to be heavily reviewed and frequent audits conducted by Event Management to help judge the situation.
To conclude, we constantly monitor our server activity to review how we can ensure everyone who meets our requirements can gain an event server, and we adjust our event request requirements where necessary to ensure that events that meet our high expectations can continue to gain a server. However, as our server usage is continually rising it is not possible at this time to make any big changes on how many events, VTCs can host per month.
